(1) Records required to be maintained shall:
(a) Include, as applicable:
- 1. The name and location of the Farm;
- 2. Actual values and observations obtained during monitoring;
- 3. An adequate description (such as the commodity name, or the specific variety or brand name of a commodity, and, when available, any lot number or other identifier) of Covered Produce applicable to the record;
- 4. The location of growing area (for example, a specific field) or other area (for example, a specific packing shed) applicable to the record;
- 5. The date and time of the activity documented;
- 6. Any information required under the Federal Act, the Produce Safety Rule, and 330 CMR 34.00 et seq.; and
- 7. Any other information the Department shall require.
- (b) Be created at the time an activity is performed or observed;
- (c) Be accurate, legible, and indelible;
- (d) Be signed and dated by the Person who performed the activity documented;
- (e) Be kept for at least two years from the date of creation;
(f) Be kept as:
- 1. Original records;
- 2. True copies; or
- 3. Electronic records.
