- (a) Both verbal language interpreter services and American Sign Language (ASL) interpreter services are available statewide and require, when possible, a twenty-four-hour notice.
- (b) Language interpretation may be provided over the phone as well as in person.
(c) Spoken interpreter services.
(1) The FSW Investigator will:
- (A) If the service is needed during regular work hours:
(i) Contact the area financial coordinator to request interpreter services if the service is needed during regular work hours;
- (ii) Provide the financial coordinator with:
- (a) (a) Date, time, and location that the service is needed;
(b) (b) The language (including ASL) for which the service is needed;
(c) (c) Whether in person interpretation services or telephonic interpretation services are needed; and
(d) (d) Notification if the appointment must be cancelled;
- (iii) If in-person language interpretation is provided:
(a)
- (1) (a)(1) Sign the service verification form provided by the interpreter after service is rendered.
- (2) (2) The signature verifies that the service was provided; and
(b) (b) Return the signed verification form to the interpreter; and
(iv) If interpretation services are provided over the phone, there will not be a verification form to sign; and
(B) If the service is needed after hours or on weekends:
- (i) Contact the appropriate vendor directly to schedule the appointment;
- (ii) Notify the provider if the appointment must be cancelled;
- (iii)
- (a) (a) Sign the service verification form provided by the interpreter after service is rendered.
(b) (b) The signature verifies that the service was provided; and
- (iv) Return the signed verification form to the interpreter.
(2) The Financial Coordinator will, during regular work hours, contact the vendor and schedule the appointment.
- (d) Written translation services.
(1) The Division of Children and Family Services staff member needing the service will:
- (A) Attain supervisor approval for the translation request;
- (B) If approval is attained, send document needing translation to the division Field Operations designee and Policy Unit designee; and
- (C) Advise Field Operations designee and Policy Unit designee of the translated language that is needed.
(2) The division Central Office will:
- (A) Forward the document to the provider for an estimate;
- (B) Approve or deny the estimate;
- (C) If estimate is approved, sign the estimate document and fax back to the vendor; and
- (D) Forward the translated document to the division staff member who made the request.
